Donation Procedures

1.1 Chieftaincies

  • Reach out to the chief’s liaison via telephone to brief them on the program and arrange a convenient time for a meeting.
  •  Share the purpose of the appointment and gather information about families who are less privileged, to better understand their needs and provide support.
  • leadership or traditional authority who meet the criteria for receiving a donation.

1.2 Schools

  • Contact the school administration about the program, and they will designate a representative responsible for managing donations and charitable initiatives, who will assist you in identifying a suitable recipient or compile a list of eligible candidates for consideration.

1.3 Churches

  • Reach out to the church administration regarding the program, and they will identify a family that requires assistance.

1.4 Community/individual referrals

  • Contact the person who made the referral to ask about their connection to the beneficiary and gather any available insights or context.

2.1 Clear purpose or Agenda

  • Having a clear understanding of the program’s objectives and process is crucial. Providing a concise and focused agenda will help our contact person quickly grasp our purpose and goals, enabling them to better assist us.

2,2 Date and Time

  • Confirming a date and time for the meeting enables us to synchronize our preparations, assemble all relevant documents, and come fully prepared, ensuring a productive and efficient discussion.
  • Conduct an official visit to the familie’s homes, conducting a comprehensive assessment of their living situation, including basic necessities, environmental conditions, and community dynamics to gain  a deeper understanding of their needss and circumstances.

4.1 Telephone Interview

  • Reach out to the beneficiary through a phone call to check in on their progress, offer support and guidance, and gather updates on their situation, addressing any concerns or questions they have, enabling the company to monitor their well-being and adjust our assistance accordingly.

4.2 Office Meeting

  • Extend an invitation to the beneficiaries to attend a brief meeting at the TECH-HOUSE office allowing us to touch base with them individually, review their situation and offer tailored assistance and resources in a comfortable and confidential environment.

5.1 Quotation

  • Obtain a detailed quote or estimate for all the necessary items or services required, categorized according to the specific areas of assistance indicated on the form, to ensure a comprehensive and accurate breakdown of the support needed.

5.2 Allocation Of Funds

  • The distribution of funds will be determined by the quotations received and the identified gaps in resources, ensuring that the allocated support addresses the most pressing needs and maximize the impact of the assistance.
  • Organize and label the packages or support items by categorizing them according to the respective family or individual names, to maintain a clear and organized system for distributing the support materials.
  • Coordinate a designated date for the donation handover, ensure thorough preparations are in place, and verify that all beneficiaries have received clear and timely notification, enabling them to plan accordingly and make the most of this support.
